Privacy Policy

Close Cadence LLC, a California limited liability company (“Close Cadence,” “we,” “us,” or “our”), operates the website at closecadence.ai, the Close Cadence portal, the Command Center desktop application, and the related AI tools and connector we provide for real-estate professionals (collectively, the “Service”). This policy explains what we collect, how we use it, who we share it with, and the choices you have. Questions or requests: [email protected].

1. Information we collect

From the website & contact form. When you submit a form or book a call, we collect your name, email, brokerage/market, and your message, so we can reply and help you get set up. To improve the site and product we use first-party, cookieless analytics — see “Technical & usage data” below and your analytics choices.

Account & profile. When you create a member account we collect your email (used for magic-link sign-in) and the profile details you choose to provide so the tools can write in your voice — for example your name, license number, brokerage, market, specialties, tagline, brand voice, phone, website, and any required disclaimer.

Content you create with the tools. When you use an AI tool we process the inputs you type (listing details, market notes, the situation you describe, writing samples you paste to capture your voice) and the outputs we generate, which we save to your library and templates so you can reuse them. This is your content and remains yours.

Connected services & credentials. If you choose to connect an outside service — for example an MLS data feed (so live listings appear for you), a CRM, an e-signature tool, or SMS — we store the credentials or tokens you provide. MLS and similar feed credentials are encrypted and isolated to your account; we use them only to retrieve the data you are authorized to access, and we never redistribute one member’s feed to anyone else.

Property & market data. To produce comps, valuations, and market context, we look up property and market data by address through third-party data providers. This is data about properties, not personal information about you.

Billing. Subscriptions and credits are processed by Stripe. We receive billing status and limited details (such as plan, the last four digits, and country) but we do not store full card numbers.

Technical & usage data. Like most online services, we log standard technical data (IP address, browser type, timestamps) and basic usage to keep the Service secure, enforce fair-use limits, and prevent abuse. For product analytics — understanding which pages and features are used so we can improve them — we take a deliberately privacy-protective approach: it is first-party and cookieless. We record pages viewed, a coarse region (such as country and state, derived from your network), and a small set of in-product events, associated with a short-lived, daily-rotating anonymous identifier computed on our servers. That identifier resets every day and cannot be used to follow you over time. We do not set advertising or cross-site tracking cookies, we do not store your IP address alongside this analytics data, and we never include your personal details or the content you work with in an analytics event. We honor the Global Privacy Control (GPC) and Do Not Track browser signals, and you can switch analytics off on your device at any time — see Your choices & rights.

2. The Command Center runs on your machine

The Command Center desktop application is local-first: it runs on your own computer and connects to your own Claude account. Your board, deals, and documents are stored locally on your device — that local data does not flow to our servers, and we do not have access to it. When the Command Center or our connector calls our hosted AI tools, only the specific inputs you submit for that request are sent to us, exactly as described above.

3. How we use information

  • To provide, personalize, maintain, and improve the Service and the content it generates for you;
  • To run the tools you invoke and save your results, library, and templates;
  • To retrieve listing, property, and market data you are authorized to access;
  • To respond to you and send setup, support, and account/billing communications;
  • To secure the Service, enforce limits, prevent abuse, and comply with law.

For client/contact data you bring into the Service (for example leads or recipients you market to), you act as the controller and we act as a data processor on your behalf. A Data Processing Addendum is available to members on request.

4. AI processing of your content

To generate copy and other outputs, we send the inputs you submit to our AI provider, Google (Gemini / Vertex AI), which processes them to return a result. We do not sell your content, we do not use it to serve advertising, and we do not use your inputs or outputs to train our own models. Generated output is provided for your review — you are responsible for reviewing and approving anything before you publish or send it. (Where you use the Command Center with your own Claude account, that processing is governed by your agreement with Anthropic.)

5. How we share information

We do not sell your personal information and we do not “share” it for cross-context behavioral advertising. We disclose information only to service providers (“subprocessors”) that help us operate the Service, under confidentiality and data-protection obligations, including: Cloudflare (hosting, storage, and security), Stripe (payments), Resend (transactional email), Google (Gemini/Vertex AI text generation), property and market-data providers (for comps and valuations), and image, voice, and document providers that power specific features you use. If you connect an outside account (MLS, CRM, e-signature, SMS), we exchange data with that provider at your direction. We may also disclose information if required by law or to protect rights, safety, and the integrity of the Service, or in connection with a merger, acquisition, or sale of assets.

6. Messaging & email consent

If you use the Service to send SMS or email to your own contacts, you are responsible for having the necessary consent from each recipient and for complying with applicable laws (including the TCPA and CAN-SPAM) and any carrier or platform requirements. We provide the tools; you control who you contact and what you send.

7. Retention & security

We keep information only as long as needed to provide the Service or as required by law, and we delete or return your account data on request after your account is closed. We use reasonable administrative, technical, and physical safeguards — including encryption in transit and at rest, per-account isolation of your data, encrypted storage of connected-service credentials, and least-privilege access controls. No method of transmission or storage is 100% secure, but we work to protect your data and to minimize what we hold.

8. Your choices & rights

You can access, correct, export, or delete your personal information; disconnect any connected service; and rotate or revoke your API keys at any time in your portal or by contacting us. California residents have rights under the CCPA/CPRA — to know, access, delete, and correct their personal information, and not to be discriminated against for exercising those rights. Because we do not sell or “share” personal information for cross-context behavioral advertising, there is nothing to opt out of in that respect. Analytics on this device. Our product analytics are first-party and cookieless, and we automatically honor the Global Privacy Control (GPC) and Do Not Track signals. You can also turn analytics off on this device at any time — your choice is stored only on this device:

9. Children

The Service is for business use by adults and is not directed to anyone under 18; we do not knowingly collect personal information from children.

10. Changes

We’ll update this policy as the Service evolves and post the new effective date above. Material changes will be communicated to members through the Service or by email.
