Privacy Policy

Last updated: June 2026

CloseCadence LLC (a California limited liability company), “CloseCadence,” “we,” “us,” operates the website at closecadence.ai and provides an AI command-center service for real-estate professionals. This policy explains what we collect, how we use it, and your choices. Questions: [email protected].

1. Information we collect

From the website & contact form. When you submit our form we collect your name, email, brokerage/market, and your message, so we can reply and scope a setup. We may collect basic, privacy-respecting analytics (pages viewed, approximate region) to improve the site.

From the service (clients). When you become a client and connect your tools, we access — with your explicit authorization — your Google account (Gmail and Google Drive), e-signature status, and the transaction documents you direct us to organize, in order to file documents, track your required-document checklist, and build your dashboard. We only access what is needed to provide the service.

Billing. Payments are processed by Stripe; we do not store full card numbers.

2. Google API Limited Use

CloseCadence’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We use Google user data only to provide and improve the features you authorize, we do not sell it, we do not use it for advertising, and we do not allow humans to read it except where you explicitly request support, for security, or as required by law.

3. How we use information

  • To provide, maintain, and improve the service and your dashboard;
  • To file and organize your documents and surface what’s due, signed, or outstanding;
  • To respond to you, deliver setup, support, and account/billing communications;
  • To secure the service and prevent abuse, and to comply with law.

We act as a data processor for the client data you entrust to us; you remain the controller. Our handling of that data is governed by our Data Processing Addendum, available to clients on request.

4. How we share information

We do not sell your personal information. We share it only with service providers (“subprocessors”) that help us operate, under confidentiality and data-protection obligations — including Google (your authorized integrations), Cloudflare (hosting/security), Resend (email delivery), and Stripe (payments). We may disclose information if required by law or to protect rights and safety.

5. Retention & security

We keep information only as long as needed to provide the service or as required by law, and we delete or return client data on request after your engagement ends. We use reasonable administrative, technical, and physical safeguards (encryption in transit and at rest, access controls, least-privilege scopes). No method is 100% secure, but we work to protect your data and minimize what we hold.

6. Your choices & rights

You can access, correct, export, or delete your personal information, and revoke our access to your connected accounts at any time (in your Google account settings and by contacting us). California residents have rights under the CCPA/CPRA, including to know, delete, correct, and to not be discriminated against for exercising them; we do not sell or “share” personal information for cross-context behavioral advertising. To exercise any right, email [email protected].

7. Children

The service is for businesses and is not directed to anyone under 18; we do not knowingly collect their information.

8. Changes

We’ll update this policy as the service evolves and post the new date above; material changes will be communicated to clients.
